Olympus Legal Systems / Privacy
Privacy Policy
Effective October 1, 2026. This policy explains what information Olympus Legal Systems collects through olympuslegalsystems.com, the Aletheia verification service and the tools Olympus uses to publish to its own social media accounts, and what we do with it.
Who we are
Olympus Legal Systems (“Olympus,” “we” or “us”) builds hosted legal software in New York, including the Aletheia quotation and citation verifier and the ESQHQ New York Law Watch publication. Questions about this policy can be sent to privacy@olympuslegalsystems.com, or by mail to c/o Joanne Schlenk McAvey PLLC, 1641 Deer Park Avenue, Deer Park, NY 11729.
Information you give us
The request-access form asks for your work email address, which is required, and optionally your firm, role, practice area and what you would verify first. The form is processed by Formspree, a form-handling service that delivers your submission to us. We use it only to reply to you and to discuss early access. Please do not include client documents, privileged information or matter details in the form. If you email us, we receive whatever you choose to send and use it only to respond.
When you visit the website
The website does not use advertising or analytics cookies, tracking pixels or third-party analytics. Its fonts and document reader are served from our own site. Your browser stores two small preferences for this site: your light or dark theme choice, and whether the opening animation has already played in the current session. Both stay in your browser and are not sent to us.
The access form also stores the time of your last submission attempt in your browser to limit repeated requests to one per minute. It contains no form content and is not sent to us. You can clear it in your browser settings.
The site is hosted by Cloudflare, which necessarily processes technical information such as your IP address, browser type and the pages requested in order to deliver and protect the site. Cloudflare handles that information under its own privacy policy.
Documents submitted to Aletheia and the Olympus service
The hosted-product design goal is to keep client documents, prompts and work product on Olympus Legal Systems’ private fleet and out of third-party artificial intelligence model providers and model training, and to send citation strings only to CourtListener. Technical enforcement and deployment of these boundaries are not yet verified. These are design intentions, not current service guarantees. This website's processor list covers Cloudflare for delivery and security and Formspree for access-form details. It does not cover the hosted product; its Cloudflare proxy and Access configuration has not been verified from this repository. Full product processor, retention, backup and deletion terms must be supplied before onboarding. See the Trust retention disclosures; no RAM-only processing or immediate-deletion guarantee is made here.
Our social media publishing tools
Olympus operates developer applications on LinkedIn and on Instagram (Meta) that are used only to publish Olympus’s own content to accounts and pages that Olympus controls, including ESQHQ and Olympus Legal Systems. The applications act only for the account owner who authorized them and are not offered to anyone else. They do not collect, store or process information about other LinkedIn or Instagram members, and they do not read messages. They use only the authorizing account’s basic profile identifier, the list of pages that account administers, and the access tokens that LinkedIn or Meta issue. Those tokens are kept in encrypted storage on Olympus’s own computers and are never shared. Likes, comments and other public interactions with our posts stay on LinkedIn or Instagram and are governed by their policies.
How we share information
We do not sell or rent personal information, and we do not share it for advertising. We share it only with the service providers needed to run the website and form (Cloudflare and Formspree), when the law requires it, or when necessary to protect the rights, property or safety of Olympus, our users or others.
How long we keep it
We keep form submissions and correspondence for as long as needed to respond and to keep a record of early-access conversations, and you may ask us to delete them at any time. Access tokens for our publishing tools are deleted when they expire or the authorization is revoked.
Your choices
You can ask us what information we hold about you, or ask us to correct or delete it, by emailingprivacy@olympuslegalsystems.com. You can clear the site’s two browser preferences through your browser settings at any time. If you authorized one of our applications, you can revoke it in your LinkedIn or Instagram account settings.
Security
We use reasonable technical and organizational measures to protect the information we hold. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Children
The website and services are intended for legal professionals and are not directed to children under 16. We do not knowingly collect personal information from children.
No attorney-client relationship
Submitting the form, emailing us or reading ESQHQ Law Watch commentary does not create an attorney-client relationship. Please do not send confidential or privileged information until a written engagement is in place.
Changes to this policy
If we change this policy, we will post the updated version on this page with a new effective date.
